How is a Recruitment Request submitted and processed through the workflow? RP-30404

The Recruitment Request module facilitates efficient talent acquisition and manpower planning by consolidating hiring needs across departments. It is accessible via:

Workflow → New Request → Recruitment

This feature supports HR professionals in implementing recruitment best practices and managing requests systematically.

1. Navigate to the Recruitment Request Form

  • Go to: Workflow → New Request → Recruitment

2. Enter or Select the PVR (Position Vacancy Request)

  • Option 1: Manually enter the PVR.
  • Option 2: Click the Select button next to the PVR field to choose from Manpower Planning.

3. Auto-Populated Fields (Upon Selecting PVR)

When a PVR is selected from Manpower Planning, the following fields will be auto-filled:

  • JRF (Job Requisition Form)
  • Organization
  • Company
  • Position
  • Position Code

4. Enter Additional Recruitment Details

Fill in the required recruitment-specific information:

  • Grade
  • Position Location
  • Reporting Position
  • Employment Type (e.g., Permanent, Contract)
  • Total FTE (Full-Time Equivalent)
  • Gender
  • Marital Status
  • Minimum Qualification
  • Required Experience
  • Age

5. Submit the Request

  • Once all required fields are completed, click Submit to initiate the recruitment workflow.

Assign Sourcing Specialist

  • In this task, assign a sourcing specialist responsible for managing the recruitment process.
  • Select the appropriate team member from the available list.

Search / Build CV

This task enables you to add and manage candidate profiles.

Steps to Add a New CV:

  1. Click Attach CV.
  2. Enter the candidate details in the form.
  3. Attach the resume file.
  4. Click Save to add the CV to the system.

Allocating a CV:

  1. From the CV list, click on the candidate name.
  2. Click Allocate to assign the CV for further screening.

CV Screening Process

During the screening stage, enter the following candidate details:

  • Location Preference
  • Notice Period
  • Current Salary
  • Expected Salary

Shortlist CV

  • Review and shortlist candidates for the next stages in the recruitment process.

Interviews / Test Scheduling

  1. Schedule interviews for shortlisted candidates.
  2. Enter the interview date and time.
  3. Click Save to confirm the schedule.

Interview Evaluation

  1. Evaluate each candidate based on interview performance.
  2. Mark the candidate as Eligible or Rejected.

Salary Breakdown Sheet Preparation

  1. Click Create Offer to enter the candidate's salary structure.
  2. Generate the Offer Letter based on the prepared breakdown.

Candidate Acceptance

  1. Record the candidate’s response: Accepted or Rejected.
  2. If accepted, enter the joining date.

Based on the hire type (e.g., Saudi Join, Local Non-Saudi, Overseas), the next relevant workflows will be generated automatically.
