The Overseas Workflow is automatically triggered when hiring an international (overseas) candidate. It guides HR through the essential steps of visa processing, onboarding, and employee data setup tailored to overseas hires.

Accessing the Workflow

To access the Overseas Joining Process workflow:

  1. Navigate to:
    Workflow → Worklist
  2. Locate the request labelled: Overseas Joining Process (Automatically generated upon hiring an overseas candidate.)

1. Visa Allocation

In this task, the HR user must choose one of the following options:

  • Work Visa Available
  • Bring Candidate on Visit Visa

Click Submit to initiate this task.

2. Visit Visa Process

If Visit Visa is selected, complete the following fields in the Visit Visa Process task:

  • Current Employer Name
  • Profession
  • Visa Type
  • Visa Order Number
  • Visa Number
  • Approval Date
  • Visa Duration
  • Processing Agent (select from available list)

Click Submit to complete the task.

3. Complete Onboarding

Enter the Departure and Arrival Airport Details for the candidate.

Click Submit to complete the task.

4. Update Employee Information

Fill in all relevant employee details:

  • Joining Date
  • Employee ID
  • Visa and Residency Data
  • Contact Information
  • Emergency Contact Details

Initiating Work Visa Process (If Required)

  • Tick the "Initiate Work Visa Process" checkbox if the employer chooses to proceed with a work visa.
  • If Yes is selected, the system automatically triggers the Work Visa Processing Workflow.

Click Submit to complete the workflow.

Once the Overseas Joining Process workflow is completed, the employee’s data will be available in the system.

To view the onboarded employee’s information:

  1. Navigate to:
    Personnel Administration → Personnel Information
  2. The system will display:
    • Personal Details
    • Employment Records
    • Visa and Contractual Information
