How to Rehire a Former Employee
1. Search for Separated Employees
- Use the available filters such as:
- Employee ID
- Name
- Department
- The system will display matching separated employee records in a grid format.
2. Select and Rehire
- Select the relevant employee from the list.
- Enter the Rejoin Date.
- Click the Approve button to confirm and process the rehire.
System Actions Upon Approval
Upon approval, the system performs the following updates automatically:
- Updates HR Status to “Active” under Personnel Administration → Personnel Information
- The Reason for Resignation/Termination and Termination Date from the previous separation are archived.
- The Join/Rehire Date is updated with the newly entered date.
- A new contract is generated with the updated contract period, while previous contract details are retained for historical reference.
- A new leave settlement record is created with a zero opening balance, based on the new Join Date.
- If the employee is eligible, new benefit records (e.g., Air Ticket, Exit Re-entry Visa) are automatically created as per company policy.
This streamlined rehire process ensures accurate record management while avoiding duplication. It helps preserve historical employment data and simplifies employee reactivation within the system.
